Can you collect affiliate tax information on the same website as your program?

Yes. If your affiliate program runs on WordPress, you can provide a tax-information form on that same website, link to it from your affiliate onboarding instructions, and review received submissions in WordPress.

The important setup decisions are which tax form each payee needs, how affiliates access the collection page, and how your team connects each submission with the correct affiliate account. A form on the same website does not automatically synchronize tax status with an affiliate plugin or control commission payments.

Choose the appropriate tax form for the affiliate

Form W-9 gives a requester a payee’s taxpayer identification number and relevant certifications for information reporting. It is generally used by U.S. persons, including resident aliens. The completed form goes to the requester, not directly to the IRS.

A foreign affiliate may need an appropriate W-8 form or Form 8233 instead. An affiliate’s location, website language, or payment currency alone does not determine the correct form.

Use the official IRS Form W-9 and its instructions as your reference. Have your accountant determine the appropriate documentation and reporting treatment for your program rather than assuming every affiliate follows the same rules.

Create a dedicated tax-information page

Give affiliates a clearly labeled destination, such as “Tax Information,” that is easy to find during onboarding. Explain who should use the page, why the business requests the information, and whom to contact if the affiliate needs a different form.

With W9Collector plugin version 1.7.0, the W-9 form uses the shortcode

  2. I am not subject to backup withholding because (a) I am exempt from backup withholding, or (b) I have not been notified by the Internal Revenue Service (IRS) that I am subject to backup withholding as a result of a failure to report all interest or dividends, or (c) the IRS has notified me that I am no longer subject to backup withholding; and
  3. I am a U.S. citizen or other U.S. person (defined in the instructions); and
  4. The FATCA code(s) entered on this form (if any) indicating that I am exempt from FATCA reporting is correct.

. Add that shortcode through a WordPress Shortcode block on the intended collection page, or use the form page created by the plugin.

Keep tax answers out of ordinary affiliate profile fields unless that system has been specifically evaluated for handling them. Referral statistics and promotional materials can remain in the affiliate dashboard while sensitive tax information follows a restricted administrative workflow.

Link the form from the affiliate onboarding process

Depending on your affiliate software, you may be able to add a normal link to the tax-information page in a dashboard menu, welcome page, or onboarding message. Check the customization options available in your installation.

For example, a shop could place a “Submit Tax Information” link beside its affiliate program instructions. The affiliate opens the form on the shop’s website, submits the requested information, and the administrator reviews the received record.

This is a linked workflow. W9Collector version 1.7.0 does not provide a verified integration that automatically updates an affiliate profile or marks the affiliate eligible for payment.

Check whether affiliates can use their existing login

W9Collector version 1.7.0 requires a WordPress login by default. If your affiliate program uses accounts in the same WordPress installation, an affiliate’s existing session may also provide access to the tax form. Test that journey with a normal affiliate account.

If your affiliate platform uses a separate account system or runs outside that WordPress installation, do not assume its login will work. Give affiliates accurate account-access instructions.

An administrator can enable guest submissions in version 1.7.0. Logged-in submissions record the submitting WordPress user ID; guest submissions do not identify a logged-in account. Consider how your team will reconcile guest records before changing that setting.

A login provides account context, but it does not by itself establish the accuracy of the tax information or the identity of the person signing.

Connect each submission with the correct affiliate payee

An affiliate’s public username may differ from their legal tax name. The account may also belong to someone receiving commissions through a business. Create a review process that resolves those differences without asking affiliates to place full taxpayer IDs in support emails.

  1. Locate the received tax record and its submission date.
  2. Use the recorded WordPress user ID, when available, to help identify the submitting account.
  3. Confirm who receives the affiliate payments and clarify unexplained differences in names.
  4. Check the submitted information for omissions or apparent inconsistencies.
  5. Record the review outcome and any follow-up action in your administrative process.

W9Collector supports searching received entries and marking records reviewed. That status records an administrative action; it does not confirm an IRS name-and-TIN match or establish that the affiliate’s tax classification is correct.

To see how received records are organized, explore W9Collector’s form and administrative features.

Keep a separate list of affiliates who have not responded

A received-submission dashboard cannot show a tax form that has never been submitted. Compare your affiliate roster with your received records and maintain a follow-up list.

For example, if 20 affiliates have been asked for tax information and 14 submissions have arrived, six requests still need attention. Some of the 14 received records may also need clarification. Those are different tasks.

W9Collector version 1.7.0 does not automatically send tax-form invitations, remind nonresponders, or block payouts when a form is missing. Manage those actions separately under your program’s procedures and professional tax guidance.

You can adapt the W-9 request email template for affiliates by explaining the commission-payee relationship and linking to your actual collection page.

Understand where information is stored and what downloads contain

W9Collector version 1.7.0 stores submissions in your WordPress website’s database. New W-9 taxpayer IDs are encrypted and masked in the administrative view until an authorized administrator reveals them. Other record information is not all encrypted.

Submission emails provide notices rather than completed W-9 attachments or full taxpayer IDs. The W-9 administrator download is a signed HTML record, and the CSV export provides an overview with the last four TIN digits rather than the full number, signature, and certification.

Confirm that those outputs meet your accountant’s workflow before collecting live information. Your business remains responsible for hosting, WordPress updates, administrative access, backups, downloaded copies, and retention practices.

The IRS instructions for W-9 requesters describe requirements for electronic submission, including information integrity, identity assurance, access documentation, hard-copy availability, and signatures where required. A form page and signature pad alone do not establish that the complete process meets those requirements.

Test the complete affiliate journey before launch

  • Sign in with a normal affiliate account.
  • Find the tax-information link from the onboarding instructions.
  • Complete a sample submission on a phone.
  • Locate the received record as an authorized administrator.
  • Reconcile it with the sample affiliate account.
  • Inspect the download and CSV overview.
  • Confirm how missing submissions and corrections will be followed up.

Collecting affiliate tax information on your own website can give affiliates a familiar place to submit it and administrators a consistent place to review it. Make the account, review, and follow-up steps clear before relying on the process.

If this approach fits your WordPress affiliate program, compare W9Collector’s current plans and confirm the installed version, collection allowance, and output you need.
